Online Meeting Policy
Meeting Platform
We normally conduct our meetings via Zoom, but an alternative platform like Teams, Webex or Google Meet can be used upon request of the client. Clients may also send us their own meeting link if they prefer. If you would like to meet face to face, we may be able to accommodate this if our meeting schedule allows. Please let us know your preference, and we will do our best to arrange a suitable time and location.
Written Summary
To ensure you can focus on the discussion, we afterwards provide a written summary of the meeting using Fathom, an AI-powered notetaker. This summary captures key points and action items, so you don’t have to worry about taking detailed notes. You are welcome to record the session for personal use as well or use your own AI notetaker instead, just let us know at the beginning of the meeting.
Flexible Meeting Duration
While our consultations are typically scheduled for 1 hour, we understand that some discussions may require a bit more time. We are flexible and can extend the meeting slightly if our schedule allows and if needed to ensure all your questions and concerns are addressed.
Discretionary Fee Reduction
If the meeting takes less than 1 hour, we may reduce the consultation fee at our sole discretion. This decision will be based on the length and complexity of the consultation. Please note that our consultation fee is fixed, non-refundable and is not an hourly fee rate.
Payment Options
After the meeting, we will issue an invoice for payment via bank transfer. We accept payment via PayPal, but processing fees will be charged in addition to our service fee.
We currently do not accept payment in cash or by credit card.
Follow-Up Email
After your consultation, you are welcome to send us a follow-up email with any additional questions. We will gladly respond to your follow-up email without any further charge within reasonable limits. If your questions are too complicated, we may ask you to schedule another online meeting.
No-Show
If you are not able to attend the meeting, please let us know as soon as possible so we can make the meeting slot available to other clients. This helps us accommodate other clients who may need our assistance. We do not charge for no-shows but appreciate timely communication if you need to postpone or cancel the meeting.
